It is a common practice to re-purpose existing seats - when one employee leaves, the seat is assigned to a new employee. This can cause several issues with call recording if not done with the correct steps and in the correct order. The scenario below lays out the proper steps, in order, to re-purpose a seat and keep the call recordings separate between outgoing and incoming user.


Scenario 1) The Broadworks ID is being taken over by another user.

Action

  • The (outgoing) user should be deleted. Take this step using the Dubber portal. The calls can be retained (default setting) or discarded (uncheck the box for "Retain User's Recordings"). 

  • The new User should be created and the dub.point details added to this new user.  New users are created in Ossmosis. Do not attempt to create a new user in the Dubber portal.
    • In Ossmosis, navigate to the User Features for the outgoing user. Under Call Recording feature, select "Remove"
    • Change the name of the user (first, last) on the user page in Ossmosis
    • Under User Features, go to the Call Recording feature and select "Add"
    • Click the Call Recording task on the left and navigate to Manage Call Recording Users. Find the new user to assign a Role and a Recording Profile using the three dots on the far right.

 Result

  • The historical calls previously made against the old user will be retained against the old user and only visible to the Account Admin. 
  • The old calls will still be shown with the previous user's name against them. The retained calls will still be searchable and playable by the Account Admin.
  • Any new calls will be shown for the new user, and accessible by this new user.
  • The new calls will have the new user's name against them.
